These Terms and Conditions apply to all events, workshops, seminars, conferences,
day events and residential retreats organised by Satori Events (“Satori”, “we”, “us”
or “our”).
By booking or attending a Satori event or retreat, you confirm that you have read,
understood and agreed to these Terms and Conditions.
01
Bookings
A booking is not confirmed until Satori has received the required payment or deposit and has issued written confirmation of the booking.
Bookings are personal to the named attendee and may not be sold, transferred or assigned except in accordance with these Terms and Conditions or with our prior written agreement.
You must ensure that all information provided when making your booking is complete and accurate.
02
Retreat deposits
A deposit is required to reserve a place on a Satori retreat.
Retreat deposits are non-refundable, except where:
Satori cancels the retreat and does not offer a suitable alternative
A refund is required under applicable law; or
Satori agrees otherwise in writing.
The deposit reflects the administrative work, planning and financial commitments
undertaken when a retreat place is reserved.
03
Retreat balances and payment deadlines
The full outstanding balance for a retreat must be received no later than 90 days
before the retreat start date.
Where a booking is made fewer than 90 days before the retreat begins, the full retreat price must be paid at the time of booking.
We may send a payment reminder as a courtesy, but responsibility for paying the
outstanding balance by the deadline remains with the attendee.
If the balance is not received by the payment deadline, Satori may treat the booking
as cancelled and offer the place to someone else. The deposit will not normally be
refunded.
04
Transferring a retreat booking
A retreat booking may be transferred once to another Satori retreat, subject to the following conditions:
The replacement retreat must begin within three months of the original retreat’s start date
The request must be made in writing before the original retreat begins
The replacement retreat must have availability
The transfer must be approved in writing by Satori; and
Any difference in price must be paid by the attendee.
If the replacement retreat costs less than the original retreat, the difference will not
normally be refunded but may, at Satori’s discretion, be credited towards another
Satori service.
A transferred booking cannot normally be transferred for a second time.
Failure to attend the transferred retreat will be treated as a cancellation, and no
further transfer or refund will normally be offered.
05
Cancellation of a retreat by an attendee
All cancellations must be submitted to Satori in writing.
The retreat deposit is non-refundable.
Where additional payments have been made, any refund will be determined by the timing of the cancellation, the costs already incurred or committed by Satori, and whether the place can reasonably be resold.
Satori may deduct reasonable administrative costs and any non-recoverable costs incurred as a result of the booking or cancellation. Nothing in these Terms and Conditions affects any rights the attendee may have under applicable consumer law.
No refund will normally be provided where an attendee:
Fails to attend
Arrives late or leaves early;
Chooses not to participate in part of the programme
Is unable to attend because of personal circumstances, illness, travel
disruption or changes to personal plans; or
Is asked to leave because of inappropriate, unsafe or disruptive conduct.
Talks; and
Related Satori Events services.
Attendees are strongly encouraged to obtain suitable travel and cancellation
insurance.
06
Day events
Tickets for Satori day events, workshops, seminars and conferences must be paid in full in advance.
A place is not confirmed until full payment has been received and booking confirmation has been issued.
Day-event tickets are non-refundable, except where Satori cancels the event, is unable to provide the booked service or a refund is otherwise required by law.
An attendee who cannot attend may request to transfer their ticket to another person. Any such request must be made in writing before the event and is subject to Satori’s approval.
Tickets cannot be transferred to a different event unless Satori expressly agrees in writing.
07
Changes made by Satori
Satori reserves the right to make reasonable changes to an event or retreat where
necessary. Changes may include alterations to:
Speakers, teachers, facilitators or practitioners
The timetable or programme
Activities, treatments or sessions
Accommodation or room arrangements
Catering
Venues; or
Event delivery, including moving an event online or introducing online participation.
We will aim to ensure that any replacement arrangements provide a reasonably comparable experience.
Minor changes do not entitle an attendee to cancel or receive a refund.
08
Cancellation or postponement by Satori
Satori may cancel, postpone or reschedule an event or retreat where reasonably necessary, including because of:
Insufficient bookings
Illness or unavailability of a key facilitator;
Venue problems
Severe weather
Travel disruption
Public-health restrictions
Government action
Safety concerns; or
Circumstances outside our reasonable control.
Where Satori cancels an event and does not provide it on an alternative date, attendees will normally be offered a refund of the amount paid to Satori for the cancelled event.
Where an event is postponed or rescheduled, the booking will normally be transferred to the replacement date. If the attendee cannot reasonably attend the replacement date, Satori will consider an appropriate refund or credit, taking account of the circumstances and applicable law.
Satori is not responsible for separately booked travel, accommodation, childcare, insurance or other personal expenses. Attendees should use flexible or refundable booking arrangements wherever possible.
09
Travel and accommodation
Unless expressly stated in the booking description, attendees are responsible for arranging and paying for their own:
Transport
Flights
Passports and visas
Travel insurance
Transfers
Additional accommodation; and
Personal expenses.
Attendees are responsible for arriving at the venue at the stated time.
Where accommodation is included, room types and occupancy arrangements will be described during the booking process. Specific rooms, views or locations cannot be guaranteed unless expressly confirmed in writing.
Attendees may be responsible for the cost of any damage they deliberately or negligently cause to accommodation, venues, furnishings or equipment.
10
Health and suitability
Satori events and retreats are intended to support personal development, education, relaxation and general wellbeing. They are not a substitute for medical care, psychotherapy, psychiatric treatment, diagnosis or other professional healthcare.
Attendees are responsible for determining whether an event, retreat or activity is suitable for them.
Before attending, you must inform Satori of any relevant:
Medical condition
Injury
Disability
Allergy;
Dietary requirement
Pregnancy
Mental-health concern; or
Medication that could affect your safe participation.
Providing this information does not guarantee that every requirement can be accommodated. We will, however, consider reasonable requests and communicate with you where additional arrangements may be needed.
You should consult an appropriate healthcare professional before participating if you have any concerns about your physical or psychological ability to take part.
11
Participation in activities
Participation in physical, wellbeing or experiential activities is voluntary.
Attendees must follow reasonable safety instructions provided by Satori, the venue
and individual facilitators.
You should stop participating and inform a facilitator immediately if you experience pain, dizziness, distress or any other concerning symptoms.
Satori may refuse or restrict participation in an activity where it reasonably considers that participation may present a risk to the attendee or to others.
12
Personal responsibility
Each attendee remains responsible for their own decisions, actions and wellbeing before, during and after an event or retreat.
Results from coaching, personal-development, health or wellbeing practices vary between individuals. Satori does not guarantee any particular personal, professional, health, relationship or financial outcome.
Access to personal information is limited to people who reasonably require it for their work.
However, no internet-based system can be guaranteed to be completely secure.
13
Behaviour and respect for others
Attendees must behave respectfully towards other attendees, facilitators, staff,
venue personnel and members of the local community.
Satori may ask an attendee to leave an event or retreat where their behaviour is
reasonably considered:
Threatening, abusive, discriminatory or harassing
Unsafe or seriously disruptive
Damaging to property
Persistently disrespectful of boundaries
Affected by alcohol or non-prescribed drugs; or
Likely to interfere materially with the experience or wellbeing of others.
Where an attendee is required to leave for these reasons, no refund will normally be provided, and the attendee will be responsible for their own onward travel and accommodation.
14
Alcohol, drugs and medication
Illegal drugs are not permitted at Satori events or retreats.
Attendees must not participate in activities while impaired by alcohol, illegal drugs or the misuse of medication.
Any prescribed medication remains the attendee’s responsibility and should be used in accordance with professional medical advice.
15
Confidentiality and privacy within the group
Retreats and personal-development events may involve attendees sharing personal information or experiences.
All attendees are asked to respect the privacy of others and not disclose another attendee’s personal information or experiences outside the event without that person’s permission.
Although Satori will encourage confidentiality, it cannot guarantee the actions of individual attendees.
16
Photography, video and recordings
Satori may take photographs or video recordings at certain events for promotional, educational or archival purposes.
Where filming or photography is planned, attendees will be informed and given a reasonable opportunity to tell us if they do not wish to be identifiable in promotional material.
Attendees must not record private sessions, presentations or other attendees without prior permission from Satori and the people concerned.
17
Intellectual property
All event materials, recordings, presentations, workbooks, exercises, branding and other content supplied by Satori or its facilitators remain the intellectual property of their respective owners.
Materials are supplied for the attendee’s personal use only and may not be copied, recorded, reproduced, sold, taught, published or distributed without prior written permission.
18
Personal belongings
Attendees remain responsible for their personal belongings.
Satori accepts no responsibility for loss, theft or damage to personal property except
where caused by Satori’s negligence or where responsibility cannot legally be
excluded.
19
Liability
Nothing in these Terms and Conditions excludes or limits liability for:
Death or personal injury caused by negligence
Fraud or fraudulent misrepresentation; or
Any other liability that cannot lawfully be excluded or limited.
Subject to those exceptions, Satori will not be responsible for losses that were not reasonably foreseeable when the booking was made or for losses arising from circumstances outside our reasonable control.
Where an attendee books for purposes connected wholly or mainly with a business, Satori will not be responsible for loss of profit, revenue, business opportunities or anticipated savings.
20
Force majeure
Satori will not be responsible for delay, changes or failure to provide an event where this is caused by circumstances beyond its reasonable control.
Such circumstances may include severe weather, natural disasters, fire, flooding, epidemics, pandemics, government restrictions, war, civil unrest, terrorism, transport disruption, venue closure, utility failure or the serious illness of essential personnel.
Where such circumstances arise, Satori will act reasonably and consider suitable alternatives, postponement, credits or refunds in accordance with applicable law and the costs that can reasonably be recovered.
21
Complaints
Any concern arising during an event or retreat should be raised with a Satori representative as soon as possible so that we have a reasonable opportunity to address it.
Formal complaints should be submitted in writing within 14 days of the end of the event and should include the attendee’s name, booking details and a clear description of the concern.
22
Personal information
Satori will use personal information for the purposes of:
Administering bookings and payments
Delivering events and retreats
Communicating important event information
Managing health, dietary or accessibility requirements
Maintaining appropriate business records; and
Sending marketing communications where the attendee has consented or where otherwise permitted.
Personal information will be handled in accordance with Satori’s Privacy Policy and applicable data-protection law.
23
Third-party providers
Some elements of an event or retreat may be delivered by independent venues, accommodation providers, caterers, practitioners, speakers or activity providers.
Those providers may have their own reasonable terms, rules and safety requirements, which attendees must follow.
Nothing in this clause reduces any legal responsibility that Satori may have for services sold directly as part of the attendee’s booking.
24
Events outside the United Kingdom
Attendees travelling internationally are responsible for checking current passport,
visa, entry, vaccination and insurance requirements.
Satori is not responsible where an attendee is unable to travel because they do not have the required documents, permissions or insurance.
25
Severability
If any provision of these Terms and Conditions is found to be unlawful, invalid or unenforceable, the remaining provisions will continue in effect.
26
Governing law
These Terms and Conditions are governed by the laws of England and Wales.
Attendees living in Scotland or Northern Ireland may also benefit from mandatory rights and may be entitled to bring proceedings in their local courts.
